Terms of Engagement (The Activities)

These terms apply to all service agreements, bookings, and physical activities conducted by us.

Lead Time & Project Initiation

Booking Notice: A minimum lead time of 30 business days is required for all engagements.

Provision of Information: The Client must provide all requested briefs, data, or assets at least 30 days prior to the start date. We reserve the right to reschedule or delay the project if the information provided is incomplete or late.

Confirmation: No engagement is considered "active" until a formal booking confirmation is issued.

Location & Site Logistics

Site Reconnaissance (Recce): Where a site recce is deemed necessary, the Client must ensure clear access and permission for our team. While the site recce is included in our cost of business and cost of quotation, we reserve the right to charge should the location is inaccessible during the agreed site recce.

Activity Readiness: The Client is responsible for ensuring the location meets safety standards and is ready for the scheduled activity.

Travel & Perimeter: Activities conducted outside of Singapore mainland (ie, Sentosa or Jurong Island) may incur additional travel, accommodation, and per diem charges.

Scope & Execution

Boundaries of Service: Our services are strictly limited to the items listed in the signed Quote/Scope of Work. Any "on-the-day" requests or "scope creep" will be billed as additional services.

Third-Party Delays: We are not responsible for delays caused by the Client’s other contractors, venue management, or equipment failure not owned by us.

Minimum Participant Requirements:

Screenings, Talks & Workshops: A minimum headcount of 30 pax is required to proceed with the engagement as quoted. If the actual attendance for a screening or a health talk falls below the agreed minimum headcount, a flat fee of $350 will be applied. Exception: This fee applies unless a different specific amount was explicitly stated in the initial agreement or contract.
Pre-Registration is required for all health screening projects in order to proceed.
Group Exercises: For safety and effective delivery, a minimum of 12 pax is required for all physical/group-based exercises.
Shortfalls: Should the actual turnout fall below the minimum pax requirement on the day of the event, the full quoted fee remains payable. Truevine Connection LLP reserves the right to modify the activity format to suit the smaller group size or, in cases where the safety/objective is compromised, cancel the activity without a refund.

Cancellation Policy

Our services involve significant logistical preparation and the commitment of specialized medical staff. To account for lost opportunity and resources already activated, the following terms apply:

Resource Commitment: Upon confirmation, we reserve specific medical professionals, equipment, and transport for your event. Because these resources are dedicated to your slot, we are unable to reallocate them to other clients on short notice.
Opportunity Cost: Booking a date prevents us from accepting other corporate engagements. Cancellations result in a total loss of income for that scheduled period.
The 7-Day Rule: Any cancellation or request to reschedule made within 7 work days) of the scheduled event is strictly non-refundable. The full service fee or the $350 minimum "fall-back" fee (whichever is higher) will be charged to cover committed costs.
Advance Notice: Cancellations made more than 10 days prior to the event may be eligible for a partial refund or credit, subject to a 15% administrative and logistics preparation fee at our discretion.

Chargeable Costs & Payment Terms

Quotation Validity: All quotes are valid for 60 days. Prices are based on the specific scope agreed upon; any "on-the-day" changes or additional requests (Scope Creep) will be billed as separate line items.

Disbursements: Unless explicitly stated, our fees do not include third-party permits, specialized equipment rentals, or government-mandated fees required for specific sites.

Cost of programs and activities: Costs of activities differ between activities and content required.
